To help create a safe, respectful, and welcoming space, all participants are expected to follow this Code of Conduct. By choosing to participate, you agree to these guidelines.
Disclaimer:
All procedures and actions outlined in this Code of Conduct are subject to the policies and permissions of the hosting venue. Participants are encouraged to contact venue staff directly for assistance with any issues or concerns, as they are best equipped to handle reports and enforce venue protocols. While the instructor may be informed of reports for informational purposes, their role is primarily to support communication and ensure alignment with the venue’s guidelines. The instructor does not have authority to enforce venue policies independently.
Purpose
This Code of Conduct promotes positive behavior, supports safety and respect, and helps prevent harmful or disruptive actions during practice. By addressing these elements, it aims to structure a constructive and welcoming environment for all participants.
Acknowledgment of Human Imperfection
Mistakes are a natural part of any activity, and no one gets everything right all the time. This Code serves as a guide to help address behavior and interactions during both individual and group activities, ensuring things stay safe, respectful, and on track.
Promoting Positive Behaviors
- Start and end conversations respectfully: Begin and close communication in a way that reinforces mutual respect and keeps exchanges clear and focused.
- Express gratitude and handle disagreements calmly: Show appreciation when appropriate and approach differences with a practical and respectful attitude.
Ensuring a Safe and Respectful Environment
- Maintain eye contact and handle physical contact appropriately: Ensure all physical interactions are respectful, consensual, and aligned with safety guidelines. While maintaining eye contact may not always be practical during training or activities, prioritize clear communication and mutual respect in every interaction.
- Share feelings appropriately and manage frustration: Share your feelings and needs clearly so everyone can understand and respond with respect. Handle frustration calmly to maintain focus and avoid unnecessary conflict.
Preventing Ineffective or Socially Inappropriate Interactions
- Communicate clearly and use gestures that are easy to understand: This helps create a more effective learning environment for everyone.
- Avoid repetitive behaviors unrelated to the activity: Stay focused on the task to respect the time and effort of the group.
Regarding Individual and Group Communication
- Ask clear and supportive questions: Encourage understanding and create a respectful environment.
- Change topics thoughtfully: Ensure good timing and clear messaging to keep exchanges smooth and constructive.
- Take turns speaking: Match your communication to the group, respecting different learning and communication styles.
- Clarify misunderstandings: Address any confusion calmly to keep communication clear and effective.
- Use simple language: When needed, provide clear explanations or translation support to help everyone understand.
Respect and Courtesy
- Treat instructors, participants, and staff with respect at all times.
- Stay on topic: Show consideration of what is being discussed and demonstrated.
- Listen when others are speaking and avoid interrupting: Show consideration for everyone’s time and input.
Adherence to Class Rules
- Follow the instructor’s guidance promptly and to the best of your ability.
- Arrive on time and let the instructor know in advance if you need to miss a class.
- Participate in activities as much as you are able. If you wish to discuss adjustments for any reason, discuss them with the instructor beforehand.
Safety and Hygiene
- Wear appropriate clothing and footwear for martial arts practice. Remove any jewelry or accessories that could cause injury.
- Maintain personal hygiene to ensure a clean and safe environment for everyone. This includes washing hands, wearing clean attire, and using deodorant.
- Report any injuries, illnesses, or medical conditions to the instructor before participating in the class.
- Do not engage in sparring or any physical contact without the instructor’s permission and supervision.
Inclusivity and Accessibility
- Support and encourage all participants, regardless of skill level, background, or physical abilities.
- Respect and accommodate the needs of participants with disabilities or specific accomodations whenever possible.
- Create an environment where everyone feels welcome, respected, and included.
Ethical Behavior
- Use martial arts techniques responsibly: Do not apply skills learned in class to harm others outside the training environment.
- Be honest and respectful in all interactions, both during and outside of class.
- Avoid cheating or dishonesty in training, practice, or assessments.
Conflict Resolution
- Address personal disagreements or conflicts with fellow participants privately and respectfully.
- Seek outside mediation assistance if conflicts cannot be resolved amicably.
- Report any instances of bullying, harassment, or inappropriate behavior immediately.
Reporting Violations
Participants are encouraged to report any behavior that violates this Code of Conduct to the venue’s staff or management. Venue staff are trained to handle such reports according to their established protocols, ensuring that all concerns are addressed effectively and appropriately.
If permitted by the venue, participants may also contact the instructor. If permitted by the venue, all reports will be handled with confidentiality and care, prioritizing the safety and well-being of all individuals involved.
Instructor’s Review Process

Initial Review: If permitted by the venue, the instructor will assess reported concerns within 7 days to understand the issue and identify appropriate next steps, working in alignment with the venue’s policies.

Collaborative Resolution: If permitted by the venue, the instructor will collaborate with venue staff to gather relevant information and ensure a fair and thorough review. This process will prioritize transparency and adherence to venue protocols.

Outcome Notification: If permitted by the venue, once the review is completed, involved parties will be informed of the outcome within 7 days. Any necessary actions will be implemented promptly to address the issue and ensure continued safety.

Appeals Process: If permitted by the venue, participants may submit a written appeal within 7 days of the outcome notification. Appeals will be reviewed according to the venue’s procedures to ensure fairness and impartiality.
Consequences of Violations

Verbal Warning: If permitted by the venue, minor infractions, such as brief disruptions or lapses in adherence to the Code, will result in a verbal reminder to encourage corrective behavior.

Written Warning: If permitted by the venue, for repeated or more serious violations, a written warning will be issued. This document will outline the concern, expectations for improvement, and potential consequences of further infractions.

Temporary Suspension: If permitted by the venue, participants who do not comply with the Code after warnings may face a temporary suspension. The suspension period will be determined based on the severity of the infraction.

Permanent Removal: If permitted by the venue, severe or repeated violations, including harassment, physical aggression, or serious safety breaches, may result in permanent removal from the program. This action is reserved for cases where safety or integrity of the program is at risk.

Appeals Process: If permitted by the venue, participants may appeal any disciplinary action by submitting a written appeal within 7 days of receiving notice. Appeals will be reviewed thoroughly, with the outcome communicated within 14 days.
Feedback and Improvement
- Provide constructive feedback to the instructor to help improve the class experience for everyone.
- Be open to receiving feedback from the instructor and fellow participants.
- Continuously strive for personal improvement and growth in your martial arts practice.
Privacy and Confidentiality
- Respect the privacy of fellow participants. Do not share personal information or details about others without their consent.
- Obtain permission before recording or photographing any part of the class.
- Ensure that any shared media respects the privacy and wishes of those involved.
Indemnity Clause
- Participants are responsible for their own actions and must exercise caution and good judgment during all activities.
- By participating in the program, you agree to indemnify and hold harmless the instructors, staff, and facility from any claims, damages, or liabilities arising from your participation.
- Ensure that you understand and accept the risks associated with martial arts practice before engaging in any activities.
Legal Alignment
This document has been crafted in compliance with Massachusetts laws, including the Americans with Disabilities Act and anti-discrimination laws, ensuring that it is legally robust and adheres to the highest standards of safety and equality.
Feedback and Revisions
